A business card with a thin white edge, a flyer with a logo clipped at the trim line, or a pull-up banner with a blurry hero image can make an otherwise strong brand look rushed. Knowing how to prepare a print ready PDF before you upload your artwork helps avoid those problems, protects your deadline and gives your printed pieces the professional finish they deserve.
A print-ready file is not simply a PDF that looks correct on screen. It is a file set up for the physical printing and trimming process, with the correct dimensions, colour mode, image quality and safe margins. The good news is that once you understand the basics, the same checks apply to most business print jobs – from letterheads and envelopes to coasters, flyers and banners.
Start with the final product size
Set your document to the finished size of the item you are ordering, also called the trim size. If you are printing standard business cards, flyers or DL marketing pieces, begin with the exact dimensions specified for that product. Do not create artwork at A4 and expect it to scale neatly to A5 later. Scaling can alter text size, line weights and image quality.
This matters even more for custom-size products. A fridge magnet, presentation folder insert or venue menu may have a specific finished measurement that differs from standard paper sizes. Check the product specification before starting your design, particularly if it needs to fit an existing display, envelope or holder.
For pull-up banners and other large-format printing, work at the supplied full size where your software can handle it. If the design program becomes slow, a professionally calculated reduced scale can work, but only if images and type are prepared to suit. When in doubt, full size is the safer option.
Add bleed for edge-to-edge colour
Bleed is extra artwork that extends beyond the final trim edge. It gives the printer room to trim your job accurately without leaving an unwanted white sliver around a coloured background, photograph or border.
For most commercial print, allow 3 mm bleed on every edge unless the product specification says otherwise. A standard 90 x 55 mm business card, for example, would usually be supplied as a 96 x 61 mm artwork file including bleed. The final card is still trimmed to 90 x 55 mm.
Any background colour, pattern or image intended to reach the edge must continue through the bleed area. Simply adding a larger blank canvas is not enough. If a photo stops at the trim line, there is still a risk of a white edge after trimming.
Keep key content inside the safe area
Bleed protects the outer edge, while the safe area protects your important content. Keep logos, phone numbers, addresses, QR codes and key text at least 3 mm inside the trim line. For products with folds, holes, rounded corners or unusual shapes, allow more room where required.
Borders need extra care. A narrow border running close to the edge can look uneven after trimming, even when the job is cut correctly. This is because commercial guillotining has a small production tolerance. If a border is essential to the design, make it noticeably wider or move it further in from the edge.
Use CMYK colour, not RGB
Screens use RGB light to create colour. Commercial printers use CMYK inks or toners. That is why a bright blue, electric green or fluorescent pink on a monitor may print differently on paper.
Build the artwork in CMYK from the beginning where possible. In Adobe InDesign, Illustrator and Photoshop, choose CMYK in your document or colour settings. If you have designed in Canva, Microsoft Word, PowerPoint or another office program, exporting to PDF may still produce a usable file, but colour conversion can be less predictable.
Brand colours deserve particular attention. If your business has a strict colour palette, use the CMYK values supplied in your brand guidelines rather than selecting colours by eye. Pantone colours, metallic inks and fluorescent colours are separate production choices and are not automatically reproduced through standard full-colour printing.
A small shift in colour is normal because paper stock changes how ink appears. Uncoated stocks can make colours look softer and more natural, while coated stocks often produce a sharper, more vibrant result. A black background may also need special treatment on some jobs. For the deepest black, a printer may recommend a rich black build rather than black ink alone. It depends on the product, stock and print method, so ask before making a last-minute change.
Check image resolution before export
A photograph can look sharp on your laptop and still print soft. Screen images only need enough pixels for a display, while print needs more detail. As a general rule, images should be 300 dpi at their final printed size.
The words “at final size” are the important part. A 300 dpi image that is enlarged to twice its original dimensions is no longer effectively 300 dpi. It may become noticeably pixelated, particularly on business cards, brochures and close-up product photography.
Avoid using screenshots, images copied from social media or small images lifted from a website unless you know they are high resolution. They are commonly too small for print. Ask your photographer, designer or supplier for the original high-resolution image instead.
Vector logos are the exception. Files such as AI, EPS or SVG use mathematical paths rather than fixed pixels, so they can scale cleanly. Place the original vector logo in your layout where possible. If all you have is a JPEG or PNG, do not stretch it larger than its intended size.
Make text, fonts and fine details production-safe
Small type can lose clarity when printed, especially if it is reversed out of a dark background or set in a very thin font. Keep important text at a readable size and avoid delicate typefaces for fine-print details. As a practical guide, body text below 6 pt can be difficult to read, depending on the font and stock.
For black text, use 100% black rather than a four-colour black. Small type made from CMYK colours can appear slightly soft if the colour plates move by a fraction during production. A single black plate keeps it cleaner.
Before exporting, make sure fonts are embedded in the PDF or converted to outlines if your design software gives you that option. Embedded fonts are usually preferred because text remains searchable and more easily checked. Outlining can prevent font substitution, but it means text can no longer be edited. Keep an editable working file either way.
Also inspect fine lines, QR codes and small icons at 100% view. A line that looks stylishly subtle on screen may disappear on an uncoated stock. QR codes should have adequate contrast, a clear quiet zone around them and a size suitable for a mobile phone camera to scan. Test the code from a printed proof at roughly the size you plan to use.
Export the PDF using print settings
When your artwork is ready, export it as a high-quality PDF rather than using a low-resolution “smallest file size” setting. In professional design software, choose a print-quality preset such as PDF/X-4 where available. This standard is widely used for commercial printing because it preserves transparency and embeds the information needed for reliable output.
Include crop marks only if your printer requests them. They are not always necessary, and on small products they can complicate an otherwise clean file. Bleed, however, should be included whenever artwork runs to the edge.
Do not add passwords, security restrictions, comments or interactive web elements. These features can interfere with production checks. Save the final PDF with a clear name that identifies the job, version and quantity if helpful, such as `Spring-Sale-Flyer-A5-v3.pdf`.
Run a final pre-flight check
Open the exported PDF itself, not just the design file. Check every page in the final document and look closely at the corners, bleed, spelling, contact details, pricing, dates and legal information. A single incorrect digit in a phone number costs far more to fix once thousands of flyers are printed.
Print a copy on an office printer where practical. It will not match commercial colour or stock, but it is excellent for checking hierarchy, readable type, margins and whether the design feels balanced in your hands. Folded pieces should be printed and folded as a dummy, so you can see whether panels line up and key content stays clear of the fold.
For multi-page documents, confirm the page count and order. Supply pages as single pages unless you have been specifically asked for printer spreads. Printers usually impose pages for the press themselves, and supplied spreads can create delays or errors.
When to ask for artwork help
A press-ready PDF saves time, but you do not need to guess your way through a technical issue. If you are unsure about a bleed setting, have a low-resolution logo, need a custom-size item or are working to a tight event deadline, get the file checked before placing the order. It is quicker to adjust artwork before production than to reprint a job after delivery.
