A business card with a blurry logo or a flyer with pixelated product photos can make an otherwise polished brand look rushed. If you are asking what resolution for print files is right, the short answer is usually 300 DPI at the final printed size. But image dimensions, artwork type and the product you are ordering all play a part.
Getting the file right before it reaches print helps avoid delays, unexpected artwork changes and disappointing results. Here is how to prepare sharp, professional files for the print products your business relies on.
What resolution for print files is best?
For most commercial print products, use images that are 300 DPI at their final printed size. This is the standard setting for crisp photos, detailed logos and readable text on products viewed up close, including business cards, flyers, letterheads, envelopes, fridge magnets and drink coasters.
DPI means dots per inch. You may also see PPI, or pixels per inch, when working in design software. In practical terms, both point to the same question: does your image contain enough detail for the size it will be printed?
A 300 DPI image is not automatically print-ready just because the number says 300. It must also be 300 DPI at the size it appears on the page. A small image can have a high resolution but still become soft if it is enlarged too far.
For example, a photo measuring 1,200 x 1,800 pixels can print well at 10 x 15 cm at 300 DPI. Stretch that same image across an A3 poster and it will not have enough detail to stay sharp. Design software may still let you enlarge it, but printing cannot create genuine detail that is not in the original file.
Use the final print size, not the screen size
Screens can be misleading. A photo may look clean on a laptop or mobile because it is displayed at a small size, yet appear grainy once printed. Always check the physical dimensions of your finished product before judging whether an image is large enough.

Large-format printing is the main exception to the 300 DPI rule. A pull-up banner is usually viewed from a metre or more away, so it does not need the same pixel density as a business card held in someone’s hand. Supplying a 300 DPI banner file can also create an unnecessarily large PDF that is slow to upload and process.
That said, do not use low-resolution web images simply because the final product is large. A photo that is only 72 DPI at its intended print size is unlikely to look professional on a banner, poster or sign. If you are unsure, provide the original image rather than a screenshot, social media download or image copied from a website.
A quick way to check image size
To work out the maximum print size of an image at 300 DPI, divide its pixel dimensions by 300. An image that is 3,000 pixels wide can print at 10 inches wide, or about 25.4 cm, at 300 DPI.
If your flyer is A4, it needs images sized appropriately for the space they occupy. A full-page A4 image needs more pixels than a small image sitting in one corner. This is why a high-quality photo can work perfectly in a small layout but become blurry when used as a full-page background.
Vector artwork stays sharp at any size
Not every graphic works like a photo. Logos, icons, line drawings and text are often created as vector artwork. Rather than being made from a fixed grid of pixels, vector files use mathematical paths. This allows them to scale up or down without losing sharpness.
For logos, vector formats are generally the best choice. Common examples include AI, EPS, SVG and print-ready PDF files. A PDF can contain vector elements, images or both, so it is still worth checking the source artwork before assuming every part of the file will print sharply.
If your logo is only available as a small JPG or PNG, avoid enlarging it across a flyer or banner. It may look jagged around curves and edges, especially in fine type. Your original designer may be able to provide a vector version, or your print team can advise whether the available file is suitable for the job.
Resolution is only one part of a print-ready PDF
A sharp image needs the right page setup around it. For most professionally printed collateral, supplying a high-resolution PDF is the safest option because it holds fonts, layout and image placement together in one file.
Set your document to the finished product size and include bleed where required. Bleed is the extra artwork that extends beyond the trim edge, allowing colour, photos and backgrounds to run cleanly to the edge after cutting. A common requirement is 3 mm bleed on each side, though the exact specification can vary by product.
Keep essential text, phone numbers, QR codes and logos safely inside the trim area. Do not place them too close to the edge, as even accurate commercial trimming has a small tolerance. A clean margin also makes the design easier to read.
When exporting your PDF, use high-quality print settings and avoid aggressive compression. If your software gives you an option to downsample images, make sure it does not reduce them below the resolution needed for the final size. Fonts should be embedded or converted to outlines where appropriate, particularly if your document uses a less common typeface.
RGB, CMYK and why colours can shift
Resolution controls detail. Colour mode controls how colour is built. Screens use RGB light, while commercial printing typically uses CMYK inks or toner. Bright RGB blues, greens and fluorescent shades can appear different once converted for print because they sit outside the printable CMYK colour range.
Where possible, set your artwork up in CMYK from the beginning. This gives you a more realistic preview of how photos, backgrounds and brand colours will reproduce on paper, card or other print stocks. If your brand has specific colour requirements, provide the correct CMYK or Pantone references with the artwork.
Do not judge print colour solely by how it looks on screen. Monitor brightness, display settings and room lighting all affect what you see. The stock you choose matters too: uncoated paper, gloss stock and textured materials absorb or reflect light differently, changing the perceived depth of colour.
Common file mistakes that reduce print quality
The most common issue is enlarging a low-resolution image after it has been placed into a design. Changing the DPI field in software does not add pixels. It only changes the calculation of how large the existing pixels will print.
Screenshots are another frequent problem. They are built for screen viewing and are rarely suitable for flyers, brochures or branded stationery. The same goes for images saved from Facebook, Instagram, Google image results or online listings. These files are often compressed and may be too small for print, even if they look acceptable on a mobile.
Be careful with QR codes as well. They need clean, high-contrast edges to scan reliably. Use a vector QR code where possible, keep it at a practical size and test it from a printed proof before committing to a large run.
Finally, avoid sending flattened files with text baked into a low-resolution image. A PDF with live vector text will produce far cleaner names, prices, contact details and small disclaimers than a JPG exported from a presentation program.
When a lower resolution can be acceptable
There are occasions where less than 300 DPI is reasonable. A deliberately soft or textured background may not need fine detail. Large banners, wall graphics and event signage are also viewed from farther away, which changes what the eye can detect.
The trade-off is simple: lower resolution can reduce file size and may be perfectly suitable at distance, but it gives you less room to crop, enlarge or repurpose the design later. For a quick check before ordering, view the PDF at 100% zoom, inspect logos and photos closely, and confirm the document dimensions and bleed. If something looks fuzzy on screen at 100%, it is unlikely to improve on press.
